The Purchasing Administrative Assistant is responsible for supporting the procurement process by preparing and processing purchase orders and requisitions for supplies and equipment. This role involves maintaining and updating inventory records, tracking requisitions, contracts, and orders, and communicating with suppliers to obtain detailed product or service information, including pricing and availability. The Procurement Assistant reviews and verifies the accuracy of invoices and purchase orders, coordinates with internal departments to address procurement needs and resolve issues, and assists in negotiating contracts and terms with suppliers.
Roles & Responsibilities:
- Assist in the preparation and processing of purchase orders and requisitions for supplies and equipment.
- Maintain and update inventory records, tracking the status of requisitions, contracts, and orders.
- Communicate with suppliers to obtain product or service information, including price, availability, and delivery schedule.
- Review and verify the accuracy of invoices and purchase orders.
- Coordinate with internal departments to ensure that procurement needs are met and to resolve any issues that arise.
- Assist in the negotiation of contracts and terms with suppliers.
- Monitor and follow up on outstanding purchase orders and delivery schedules.
- Maintain and organize procurement files and records for easy retrieval.
- Support the purchasing team with administrative tasks such as data entry, filing, and correspondence.
- Assist with special projects and other duties as assigned.
